How AITRA Technologies handles your information.
If you tell us about your business, we use that information to understand your enquiry, respond and continue the conversation where it is reasonable to do so.
Privacy Policy · 24 October 2026
About this policy
This policy explains how AITRA Technologies collects, uses, stores and shares personal information through this website and its business conversations.
AITRA Technologies is the business responsible for this website and the information described in this policy. Its Contact, Commercial Opportunity Snapshot and private Audit intake forms can send information to AITRA but do not intentionally keep a separate copy on the web server. Privacy questions can be sent to info@aitra.biz.
What we may collect
When you contact us, we may collect your name, business email address, organisation, the details of your enquiry and any later correspondence. If you complete the Snapshot or Audit intake, we also collect the approximate business figures, operating information and commercial priorities you provide. We may keep notes of conversations and agreed next steps.
Our website and hosting provider may record limited technical information, such as an IP address, browser type, access time and requested page, for security, fault-finding and service operation. The form also keeps a short-lived, non-reversible code based on the network address to limit repeated submissions; it does not contain the enquiry.
Please do not send customer names, policy details, health or claims information, passwords, exports or other confidential, sensitive or regulated customer information through any website form.
How we use your information
We may use the information to:
- understand and respond to your enquiry;
- ask a useful follow-up question or arrange a conversation;
- continue discussing the problem, opportunity or AITRA service that prompted your enquiry;
- prepare a relevant example, proposal or Commercial Opportunity Audit;
- produce and review an initial Snapshot indication or prepare a Commercial Opportunity Report;
- keep a record of what was discussed and agreed;
- operate, protect and improve the website and our services; and
- meet legal, regulatory or professional obligations.
Following up with you
We may contact you again when the follow-up is reasonably connected with your enquiry. For example, we may ask for a missing detail, continue an earlier conversation, send something we agreed to provide or check whether the matter is still relevant.
Submitting an enquiry does not add you to a general marketing list. We will seek appropriate permission before sending unrelated or continuing marketing communications. You can ask us to stop contacting you at any time.
When information may be shared
We may share information with people working for AITRA and with service providers that help us host the website, deliver email, manage enquiries, protect our systems or provide professional advice. They should receive only what they need for that work and must handle it appropriately.
We do not sell personal information. We may disclose information where the law requires it, or where disclosure is reasonably necessary to protect legal rights, prevent harm or investigate misuse.
The website is hosted by Contabo in the European Union. When a website form is active, it sends the information through Google Workspace to AITRA’s info@aitra.biz mailbox. Google and its subprocessors may process information in Australia, the United States and other countries in which they operate. Their handling is also governed by their own privacy and security terms.
Storage, security and retention
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No online service can promise absolute security.
The forms do not intentionally store a separate copy of a submission on the web server. AITRA keeps the delivered email and later correspondence only for as long as reasonably needed for the enquiry, Snapshot, Audit, Report, an ongoing business conversation, record-keeping, dispute resolution or a legal obligation. Short-lived rate-limit records are removed automatically. Information that is no longer needed will be deleted or de-identified where appropriate.
How the Snapshot indication is produced
The Snapshot applies simple, disclosed rules and arithmetic to the answers you provide. It identifies a possible area to examine and may illustrate what would happen if a stated variable changed. It does not decide that revenue is recoverable, make an insurance decision or make another decision that has a legal or similarly significant effect on you.
A person reviews the answers before AITRA prepares an Audit or requests supporting evidence.
Access, correction and privacy questions
You may ask what personal information we hold about you, request a correction, ask us to stop contacting you or raise a privacy concern. We may need to confirm your identity before acting on a request.
Email info@aitra.biz to make a request or raise a privacy concern. We aim to acknowledge a privacy complaint promptly and respond within a reasonable period, normally within 30 days.
If an Australian privacy complaint is not resolved, you may be able to contact the Office of the Australian Information Commissioner.
Changes to this policy
We may update this policy when our information-handling practices or legal obligations change. The date shown above identifies the current version.
